Why The Application-Centric Design in Joget Workflow v3?

Our previous blog post, Sneak Preview of Joget Workflow v3, has gotten a lot of attention from Joget Workflow adopters as well as industry watchers in the BPM space. Many people are surprised with the application-centric approach that we are pursuing, but at the same time, the comments and feedbacks we have received have been very encouraging!

Why The Application-Centric Design?

We have learnt a lot in the 19 months since the public release of v1.0. Based on observing numerous implementations of Joget Workflow, we were able to gather a couple of interesting facts:
  1. Process automation is just part of the implementation use case. Most of the time, what a customer actually needs ultimately, is an application.
  2. Process automation is just part of the implementation use case. A customer also needs reports in tabular format and the ability to easily export the records.
As Joget Workflow's design goal heads towards maximal "simplicity", it doesn't make sense for us not to address the actual customer needs commonly observed in most implementations.

You can still choose to develop processes with Joget Workflow v3 and integrate them into your preferred web frontend such as WordPress, Drupal, Liferay and SharePoint.

But, if you prefer to stay with minimal integration points, the new Userview Builder will enable you to create a web frontend that includes the following features:
  1. Link to form
  2. Link to HTML page
  3. Link to URL
  4. Link to tabular report (list), with export feature

We started our base in the US sometime 9 months ago (the time it takes to conceive a child), and have since been telling ourselves that we need a better place where our Jogetians can come over and stay for several weeks without worrying about hotel bills … a place where they can just code, train, convert adopters, and do the cool things we only read about (like in US cool companies like Google) without breaking the bank account.

Now how was that going to be possible?

I guess when we found out about how depressed the housing market is and the fact that there are global banks (like HSBC) willing to finance borrowings outside the US, we became very eager to find out how we can work around those two circumstances to let the Joget House happen. After all, we were affording Mike’s rent and the small cubicle in PnP by a whisker!

We soon realized that Mike’s and PnP’s rent put together amounted to the mortgage payments, and with that resolved, we started thinking of how to come up with the rest of the money (for down payment, etc.). It was then that our Angel Investor stepped up to the challenge and said, “Let's buy a house in the US!”

What else can I say or do? We just wanted to make it happen!

There were very few realtors who bothered to show us around once they found out about our situation, and one of them was Lou Honeycutt (I think that's how you spell her name). She not only took us around every time we were in town, but also checked with the banks, authorities, etc., helping make this project a possibility. I would recommend her service to anyone. She also helped us with the IKEA shopping and put Kuang's coffee table together (until she broke her nail), and she spent countless hours negotiating with the contractor to ensure that we got the best deal.





Anyway, today we are officially moving in to the Joget House in Milpitas, California. It's our SOHO and a start to many great things that we want to accomplish in the US. We are already doing work for the big boys, and we’ve also just released v3 beta of Joget Workflow. Everyone's quite excited. I'll blog more with pictures once we get the sofa and Mike’s work desk up. Don't know how Mike could have missed those huge boxes when the delivery truck came earlier. Anyway, we got them at something like 9:30pm yesterday, and now at least we’re almost all set.

Another visit to Fry's today to get our plasma (Sorry Mike, I can only afford to buy returns that they want to get rid cheap. US$500 for a 55-inch unit; can't beat that, guys!), and a couple of box fans as it's summer and central AC will cost an additional 5 gs. And that's in US dollars, mind you.

Joget Workflow Sets a Significant Milestone in China

I've just came back from Shanghai last night, and over the weekend, our first Accredited Partner in China is officially established via strategic collaboration. Rome was not built in a day though, we have been communicating through email conversations since 3 months ago; but the process turns out to be very fruitful!

Shanghai Valuprosys Technology (上海维略信息科技), the new certified implementation partner, is a team of open source business solutions provider based in one of the most populous cities of China. A lean startup, SVT's team comprises of project managers, functional consultants and technical developers who are experienced in the ERP and logistics domains. They are also geared with more than 5 years of solution implementation experience with IBM, Oracle and Ultimus products.

Stepping into China with significant traction, is one of our goals of this year, and I'm glad we have done it in half a year! Just the right timing with another 2 quarters to get Joget Workflow implemented for Chinese enterprises. I'm confident that we will be getting some case studies and testimonials from the world's fastest growing major economy, by end of this year.

When Good is Not Enough

It's hard not to agree that Joget Workflow's look-and-feel is aesthetically pleasing, in addition to shipping great codes to the open source space. To continuously keep up with the "simplicity" design goal, we continuously examine and improve user experience by enhancing the user interfaces.

One of the recent examples, is the improvement in navigating between Form Builder, Datalist Builder and Userview Builder. This recent enhancement is committed in the latest snapshot of v3 Beta code-base, and will be available in the final release of v3.

The Problem

In v3 Beta, if we continuously edit and design the forms, data lists and userviews, chances are, we will most likely end up with a couple of tabs opened in the browser; and it could be many.



This affects the user experience, navigating between the builders and forms eventually resulted in cluttered tabs.

The Solution

Now, 3 nifty quick-navigators are placed into Form Builder, Datalist Builder and Userview Builder. Each navigator is a drop-down list of forms, data lists, and userviews, respectively.

So, instead of leaving your mouse cursor away from the current tab and open another form from the Workflow Management Console, in another new tab, we can now simply select another form from the drop-down list, and switch between builders without cluttering the tabbed browsing experience.



When good is not enough, we aim to be better!

Joget Developer Campaign Mascot

Jack asked to come up with a community badge for a Joget Workflow developer event that we are currently organizing where local and overseas students can participate via Joget community. He wants us to have a campaign mascot the way other similar events have, and one that we can use for all of Joget’s developer programs. The campaign mascot will appear on event registration forms, mechanics literature, etc.



Before setting out to do any work, I did some online reading on campaign mascots such as Olympic 2012 and a very useful article I found, 31 Mascots And How They Help The Brand.

Actually, I had already designed a mascot for Joget much earlier on. It had a smack of Transformers and Robo-Get!



I followed it up with another, this time in 3D and portraying a more aggressive appearance, its head identical to the shape and color of the Joget logo. The figure looks like he is ready to throw in a shot in any battle -- very, very symbolic of our Joget Team’s fighting spirit!



Jack gave a nod to the overall character design but thought that it had too many shapes and color tones. He wanted it simplified and flattened… so I played with it, recreated it to 2D, emphasized the wide eyes a little to retain the menacing look, and replaced the limbs with a palm that attempts to give the android a bit of human touch.

Then I toyed around with different versions …







… and changed a little more here and there.





Finally, Joget’s first mascot was born! The name: Jakku Junior.

Code for America : Starting The Open311 Center

September 9, 2011: Code for America is a non-profit organization that recruits civic-conscious tech talents to work with local government and council bodies in developing web-based applications that can be used across America to make cities more receptive and efficient.

Open311 Center is a Code for America initiative that endeavors to provide an open means of communication for common, non-emergency matters in public spaces, such as broken street lamps and uncollected garbage. The project aims to address civic challenges and raise civic participation by creating innovative web-based solutions that are reusable and shareable, and which can work seamlessly with other 311 systems across America.

Open311 Projects at Code for America brought together CfA intern Ashish Mittal and Open Dynamics CEO Michael Yap over the summer as the former developed a lightweight 311 back-end for small cities, using Joget Workflow.

"We have built the application using Joget, a great open-source workflow engine for automating and monitoring processes, along with great assistance from Joget’s CEO, Michael Yap, and the Joget community, " wrote Ashish (Ashish’s CFA Summer: Starting the Open311 Center, http://codeforamerica.org/2011/09/09/ashishs-cfa-summer-starting-the-open311-center/).

The application for handling 311 service requests enables a city’s 311response coordinator to notify the relevant agents/contractors based on data collected by the application from completed forms. The workflow administrator may add data apart from managing them, and the application is configured to allow for different processing options based on the role of the workflow participants.

Ashish is optimistic and confident about the application and asserts, "Eventually, we aim to install the application as a part of Open311 centers established in various cities and enable a direct and a more efficient process of taking in and dealing with 311 service requests. It’s still in early beta, and we’re excited to keep working on it."

Joget On The Cloud

It's a rainy evening in Kuala Lumpur. I was driving in the bumper-to-bumper traffic, and that traffic condition gave me some opportunities to catch up with tweets instead. Scott Francis' update caught my attention, he posted an article inspired by Activiti's Tom Baeyens' blog post; basically, it's about BPM on the cloud.

Tom Baeyens in the opening of his post: “The first thing we realized is that on the cloud, a requirement is self-service by professional consumers. This means that end users should be able to manage the apps they use.”

“Immediately it became clear that hosting traditional BPM engine on the cloud is a big technical challenge with a relative low value for professional consumers.”
Spot on!


We have received numerous email requests from Joget Workflow users, asking about the availability of "switch-on-and-it-runs" hosted instances of Joget. And this request is getting more significantly relevant lately, when the v3 Beta is rolled out to the public in June. Why? 'Cos beginning from v3, Joget is no longer just another workflow management system, but it's now a full-fledged Web apps builder, enabling users to create workflow apps on the Web.

So with such a niche (workflow apps builder) that Joget is focusing on, it's natural for the users to expect the availability of a convenient option to run Joget on the cloud. I was at a WordCamp few months back, sharing about Joget-WordPress integration, easily achievable with some plugins and the community has developed. The overall response from the WordCamp participants was great; I could see the sparkling attentions from PHP developers realizing how easy it is now, to assemble workflow apps from drag-and-drop UI, to integrate with WordPress site and its user directory.

But but but ... I also witnessed the moment of epic twist, when a developer asked me about Joget Cloud, and my answer was “not at the moment ... yet”.

Scott Francis pointed out the "blind spot":
“open source BPM projects have been more focused on building the engines than on exactly what the deployment architectures will be”
Joget's niche is focused at simplicity. We started the project by creating a BPM tool that is easy for users to create, deploy and automate business processes. But, the type of niche we are focusing at also requires Joget to not just be a workflow system, but app builder (CRUD forms, tabular listing of records, reports, data import/export, etc). Lately, driven by demand, the product development team is also putting some efforts into the multi-tenancy support of Joget, so that multiple instances of Joget serving different clients can be hosted by a single instance of application server.

Is Joget Cloud-Ready Yet?

YES! In fact, we have  launched a private Beta to test the Joget Cloud. The participation is by-invitation only at the moment. If you are one of our partners, you can contact us for further details, or to even join our private Beta :)

Hopefully, we can announce a production-ready infra of Joget Cloud to the public, soon... Imagine this:

Last month, we broke the news that Joget Workflow has bagged 2 awards at MSC Malaysia APICTA, and that has brought us a passport to compete at the international stage - the 11th International APICTA (Asia Pacific ICT Alliance) Awards, held in Pattaya on 11.11.11.

Julian (the technology master brain of Joget) and I were in Pattaya early this month, together with nominees from other Asia Pacific economies, to compete for the "Best of Tools and Infrastructure Application" category. Of all the participating economies, I'm personally very impressed with the team from Pakistan -- a lot of efforts they have put in at the international stage. Kudos to their dedicated mentors, who were there in Pattaya together with the nominees, to really contribute their mentorship (not just merely for the fun of travelling).

The first 5 minutes of my pitch for the "Best of Tools and Infrastructure Application" session didn't went on smoothly - the projector decided not to collaborate with me, by flickering its eye every 10 seconds or so. But, the stopwatch was running, and I had only 20 minutes to convince the panel of judges. Luckily, Julian was there to "negotiate" with the VGA cable.

I was told that the "Best of Tools and Infrastructure Application" category is always a tough fight at APICTA Awards, as the nominees are usually the reputable infra software companies with more than 10 years of strong history and presence in the enterprise architecture market. But, we took this to our advantage instead, by telling the judges that, Open Dynamics is a 2-year young open source product company, with 1,000 adopter sites and 22 partners spanning across the globe.

There's a secret that no one knows about it yet, before this post is published. I actually pre-composed this tweet in my phone, and pressed the "Send" button immediately when Joget Workflow was announced as one of the winners :p Jack was in Taipei during that time, and anxiously waiting for my update on the awards ceremony night.

Joget Workflow v3 - Part 1 - Process Design Tutorial

This is the first of four parts video to develop a Joget Workflow v3 app, in this case the Claims App. The following image is the process diagram of the workflow in the Claims App. 


Using the above process diagram as a reference, you can learn how to design the same process in the following video tutorial. In the tutorial you will learn the following:
  • How to add workflow activities and system tools to your processes.
  • Set asynchronous or synchronous deadlines to send reminders if task is not perform during the specified time or to escalate a task to the next approval level if not perform in the predefined time frame.
  • Set activity and process level Service Level Agreement (SLA) to monitor the workflow to ensure that tasks are performed within the accepted time frame.
  • Add and modify route and parallel route conditions in your workflow.
  • Map participants to the swim lane.
  • Set the workflow variables for routing your process.


Part 2 to 4 of the video tutorials will cover Forms, List and Userview designs. They are still a work in progress and will be published as soon as possible.

Joget Workflow v3 - Part 2 - Form Design Tutorial

This is the second part of the video to develop a Joget Workflow v3 app, in this case the Claims App. Earlier, we talked about on how to design a process. In this video, we will be showing you on how to design forms for the activities created in the process design below.



We will be designing the following forms using the form builder.
  1. Submit Claim
  2. Claim Submitted
  3. Approve Claim
  4. Verify Claim
  5. Claim Item
In this tutorial, you will be learning the following:-
  • Creating form and mapping the form to a process activity.
  • Using subform to populate existing form into form design.
  • Generating Reference Number in the form.
  • Using Form Grid element and Multirow Form Binder to handle multi-row/grid form data.
  • Map form value into Workflow Variable to dictate the process flow.
  • Automatically populate form field using hash variable.

Joget Workflow v3.1 BETA is now available for public download!

Joget Workflow is an open source web-based workflow software to develop workflow and Business Process Management applications.
More than just a workflow or BPM platform, Joget offers full-fledged agile development capabilities (consisting of processes, forms, lists, CRUD and UI), not just back-end EAI/orchestration/integration or the task-based interface for traditional workflow/BPM products. So for example, build a sales force automation app instead of just a sales quotation approval process.

What's new in the v3.1 BETA? The primary focus of the v3.1 release is a cleaner, more streamlined user interface along with enhanced form and reporting features.

The web console UI for building and monitoring apps have been given a face-lift to sport a cleaner, more streamlined look with more usable space.

Enhanced Form, List and Userview Features

New features in data lists and userviews include the ability to add date range filters, and a new Universal Inbox that consolidates all tasks from any app for each user.

Enhanced Reporting through Integration with JasperReports

In addition to using data lists for tabular reports, it is now possible to support more complex reporting requirements through integration with the popular open source reporting platform JasperReports. By using JasperReports report definitions, sophisticated reports with custom layouts and graphs can be generated and viewed directly within a userview with optional export to PDF and Excel.

Better Multi-Language Support

There is improved support for multiple languages by allowing language selection by user. Each user can select his or her preferred language, so this allows for better accessibility in global deployments.

Note: Please note that v3.1 BETA is a beta release meant for testing all the new features and functionalities, and is not recommended for a production environment. The current stable release is v3.0.3.

Joget Workflow v3 - Part 3 - Form Design, Datalist and Userview Tutorial

This is the third part of the video to develop a Joget Workflow v3 App. In the previous part, we have designed all the forms necessary for the Claim App process.

In this video, we are going to revisit the forms to add in a Calculation field, and then complete off the entire App by adding in the Datalist and Userview.
